Part 1 — Brand Culture & Philosophy

Welcome to the Bark and Purr family! You have not just accepted a job — you have answered a calling. Every day you step into our Zen Den, you have the power to transform a nervous pet into a confident one, turn a worried PAWrent into a relaxed and grateful customer, and contribute to the overall health and wellness of beloved family members.

We are not your average grooming shop. We are a premium pet wellness destination, and we hire only the best-in-class professionals who embody our brand values without exception. You were selected because you demonstrate the rare combination of technical excellence and genuine, natural empathy for animals and the people who love them.

This handbook is your guide to everything that makes Bark and Purr extraordinary. Please read it thoroughly, ask questions freely, and commit its standards to heart. It is not just a policy document — it is a reflection of who we are and the promise we make to every PAWrent who entrusts us with their fur baby.

1.4 Tranquil Tails Philosophy

The Tranquil Tail Grooming® Method is the heart and soul of everything we do — a registered holistic grooming philosophy that differentiates Bark and Purr from every other grooming salon in North Texas. Understanding and embodying this method is not optional.

Step 1 — Optimal Environment Assessment
  • Evaluate and adjust lighting, sound, and aromatherapy for each pet's needs.
  • Ensure the waiting room is calm, welcoming, and free of triggers for anxious pets.
  • Use binaural beats, therapeutic aromas, and soft lighting to lower cortisol levels before grooming begins.
Step 2 — Experience Evaluation
  • Review the pet's grooming history and current attitude toward grooming.
  • Develop a customized action plan for every service, including special handling notes.
  • Never assume last visit's approach is correct for today — pets change, moods change, health changes.
Step 3 — Comprehensive Physical Assessment
  • Perform a thorough three-point evaluation: coat condition, skin health, and overall wellness.
  • Identify any concerns — lumps, skin irritation, ear issues, dental concerns — and communicate them to the PAWrent.
  • Document findings in the client's profile for continuity of care.
Step 4 — PAWrent Partnership
  • Understand the family's schedule, travel needs, and the pet's home behaviors.
  • Address parental anxiety with clear, confident, warm communication.
  • Provide seamless transitions from home to salon and back, with tips to maintain the zen state at home.

Fear-Free Certification

Bark and Purr is a certified Fear-Free grooming salon. Every team member is trained to recognize and respond to signs of fear, anxiety, and stress (FAS) in animals. Fear-Free practices are the default operating standard at every moment of every visit.

  • Never force a pet into a position that escalates fear or panic.
  • Use positive reinforcement (treats, praise, gentle touch) throughout every service.
  • If a pet's FAS levels are too high to continue safely, stop the service and communicate immediately with management and the PAWrent.
  • Document all FAS observations in the pet's profile for future planning.
1.5 Client Experience Standards

Every PAWrent who walks through our door should feel the difference within the first 30 seconds. These standards are non-negotiable.

The Greeting Standard

Every visitor — human and animal — receives a warm, genuine, personalized greeting. No guest is ignored, even if you are in the middle of a groom.

The Name Standard

You are expected to know every regular client and pet by name. Use the client's name and their pet's name in every interaction.

The Communication Standard

Before any groom begins, review the service plan with the PAWrent. After every groom, provide a brief wellness update. Never send a pet home without a positive send-off comment and a clear invitation to return.

The Transparency Standard

If anything happens during a visit — a nick, a reaction, a behavioral incident, a health concern — it must be communicated to the PAWrent immediately and completely. We do not minimize, conceal, or delay difficult conversations.

The Recovery Standard

When something goes wrong, we make it right. Acknowledge the issue, apologize sincerely, explain what happened, and outline the corrective action.

1.6 Our Daily Practice — Credo, Huddle & Steps of Service

Each shift opens with a short 5–8 minute huddle before the first appointment: (1) today's plan — who's booked, any special-handling notes; (2) one focus metric for the day (e.g., rebooking, add-on offers, a safety reminder); (3) one recognition callout — a specific thing a teammate did well recently.

Bark and Purr's service moments are scripted at three points, each detailed further in Part 10: Drop-Off (the Check-In Flow, §10.1) · Mid-Groom Update (a wellness touchpoint during longer appointments — coat condition, temperament, any concerns) · Pickup (the Check-Out Flow, §10.2). Every team member who touches a pet or PAWrent during these moments follows the corresponding standard.

Part 2 — Employee Policies

2.1 Employment Agreement

Employment with Bark and Purr Grooming, LLC is based on mutual consent and may be terminated at any time by either the employee or the company, without advance notice and without any requirement of cause ("at-will" employment). Nothing in this handbook creates a contract of employment for any specific period of time.

Equal Opportunity Employer

Bark and Purr is committed to providing equal employment opportunities to all individuals regardless of race, color, religion, sex, national origin, age, disability, veteran status, sexual orientation, gender identity, or any other characteristic protected by law. Discrimination or harassment based on any protected characteristic is strictly prohibited and may result in immediate termination.

Background & Reference Checks

All offers of employment are contingent upon the satisfactory completion of reference checks and, where applicable, a background check. Employment may be rescinded if background check results are unsatisfactory.

Required Documentation

All employees must provide valid employment authorization documentation (I-9 compliance) on or before their first day of employment, and complete all onboarding paperwork, including tax withholding forms, emergency contacts, and signed policy acknowledgments, before beginning work.

Inoculations

Bark and Purr strongly recommends that all employees working directly with animals receive and maintain current tetanus vaccinations, for personal protection given the nature of our work environment.

Confidentiality & Conflict of Interest

Information regarding work processes, procedures, business plans, financial records, client information, and employee information must be held in confidence both during and after employment. Any business relationship that presents a conflict of interest is prohibited, including outside employment that interferes with your job duties or involves competing services.

2.2 Probation Period

All new employees serve a 90-day introductory probation period from their date of hire — a mutual evaluation opportunity for both the employee and Bark and Purr to assess the fit.

  • You will complete all required training modules and checklists for your role.
  • You will be evaluated regularly on skill level, attitude, client interaction, and cultural alignment.
  • You will receive ongoing feedback and coaching from your supervisor or manager.
  • You are eligible for termination at any time during or at the end of the probation period if performance or fit is not satisfactory.

Upon successful completion of the 90-day probation period, you will receive a formal performance review. Commission eligibility, full benefits access, and advancement considerations begin following this review. Management reserves the right to extend probation by up to 30 days if additional evaluation time is needed, with the employee notified in writing.

New-hire bathers: commission eligibility does not begin automatically at 90 days. Per standing pay policy, a new bather is not commission-eligible until 30 days from their start date, or until management confirms they've passed an evaluation — whichever comes first. This 30-day gate is separate from, and shorter than, the 90-day probation review above; it governs when commission eligibility can start, not when probation ends. 2.3 Attendance Policy

Consistent, punctual attendance is essential to the quality experience we provide our clients and the smooth operation of our shop.

Tardiness

Tardiness is arriving late to your workstation or not being ready to work at your scheduled start time. "Ready to work" means in uniform, tools prepared, and physically present at your station — not clocking in at the front door. Repeated tardiness results in progressive disciplinary action, up to and including termination.

Absenteeism

Any scheduled time not worked, excluding pre-approved leave, is considered an absence. Excessive or unannounced absences place an undue burden on your teammates and our clients and will result in disciplinary action.

Reporting Requirements

  • Notify your supervisor or the manager on duty at least 15 minutes before a scheduled start time when arriving late.
  • Notify the evening before (or at least 3 hours prior) when unable to report for a full shift.
  • The employee — not a family member or friend — must make contact directly, indicating reason and probable duration.
  • Text messages are acceptable, but you must receive confirmation the message was received; if no confirmation, a phone call is required.

No Call / No Show

Absence without proper notice for one or more days may lead to immediate termination. Absence for three or more consecutive days without any contact is considered job abandonment and voluntary resignation.

Schedule Changes & Shop Hours

Requests for planned time off must be submitted as early as possible and prior to the start of the week's schedule; late requests may be considered unexcused. Schedules are created based on client bookings and may change with minimal notice.

2.4 Drug & Alcohol Policy

The safety of the animals in our care and our team members depends on every employee being fully present and unimpaired during their shift. Bark and Purr maintains a strict drug and alcohol-free workplace.

  • The use, possession, distribution, or sale of alcohol, illegal drugs, or controlled substances on company premises or during work hours is strictly prohibited.
  • Reporting to work under the influence of alcohol, illegal drugs, or any substance that impairs judgment, coordination, or performance is strictly prohibited.
  • Notify management of any prescribed medication that may affect your ability to safely perform your duties.

Bark and Purr reserves the right to require testing post-accident, on reasonable suspicion of impairment, or as required by law. Refusal to submit to required testing may result in immediate termination. Violation of this policy is grounds for immediate termination; management may, at its sole discretion, offer treatment in lieu of termination for a first offense.

2.5 Non-Compete & Client Protection

During your employment and for 12 months following separation (voluntary or involuntary), you may not solicit, contact, or accept grooming business from any client of Bark and Purr whom you served or whose information you accessed during your employment. Client lists, pricing structures, proprietary grooming techniques, and other confidential business information are the exclusive property of Bark and Purr.

You agree not to make disparaging, defamatory, or negative public statements about Bark and Purr, its ownership, staff, or clients — in person, online, or on social media — during or after employment.

Part 3 — Compensation & Performance

3.1 Commission Structure

Bark and Purr uses a performance-based compensation model that rewards skill, productivity, and client retention. Your commission rate is tied to your role level and offer letter, and is subject to review at each performance evaluation. Current service pricing lives in the booking system and is not reproduced here — ask your manager or check the POS for the live price list, since a printed figure in this handbook would go stale.

Commission Tiers by Role

  • Bather / Bather-Brusher: Hourly base rate (see offer letter).
  • Apprentice Groomer: Hourly base + performance bonus upon milestone completion.
  • Junior Groomer: Commission on completed grooms per rate schedule. [CONFIRM: commission per offer letter]
  • Groomer: Commission on completed grooms per rate schedule.
  • Stylist / Senior Stylist: Commission on completed grooms + upsell bonus.
📌 Specific commission percentages are outlined in your individual offer letter and reviewed at each performance evaluation. Commission rates are not disclosed publicly among staff; discussing another employee's compensation is discouraged.
New-bather commission gate (standing policy): a newly hired hourly bather is not eligible for commission until 30 days from their start date, or until management confirms they've passed an evaluation — whichever comes first. This applies to every new bather hire going forward.

Commission Calculation

Commission is calculated on the pre-tax service total, excluding add-on retail product sales, and paid on the standard bi-weekly payroll cycle. Any disputes regarding commission calculation must be reported to management within 5 business days of the pay date.

Employee Benefits

  • Employee dogs may attend daycare or day lodge at no cost during scheduled work hours, subject to space availability and social evaluation approval.
  • Employees may bring their own pets for grooming and use equipment/supplies while off-the-clock, with advance management approval.
  • All employees receive discounts per the Employee Discount Procedure (available from management).
  • Full-time employees in good standing after 6 months are eligible for company-sponsored industry training programs.
3.2 Tip Distribution

Tips are an important part of your compensation at Bark and Purr and a direct reflection of the quality of experience you provide.

Tip-pool policy: a portion of groomer tips (15%) pools to support the bathing team, since bath prep is foundational to every finished groom. The pooled amount is split among bathers at management's discretion each pay cycle — this is a policy statement only; no dollar figures are set here. Tips outside the pooled share belong to the employee who directly performed the service.

  • Cash tips must be reported accurately. Misrepresentation of tip income is a violation of company policy and applicable tax law.
  • Digital tips processed through the booking system are disbursed with the corresponding payroll period.
  • Soliciting tips is prohibited. Exceptional service earns tips naturally.
  • Tip disputes between team members must be brought to management immediately and calmly. Management's decision is final.
3.3 Groomer Supply Pool

Bark and Purr provides a shared pool of professional-grade grooming tools and supplies for team use. These tools represent a significant investment and must be treated with the highest level of care.

  • All shared tools must be cleaned, sanitized, and returned to their designated storage location after each use.
  • Damaged or malfunctioning tools must be reported to management immediately — do not continue using damaged tools.
  • Theft, negligent damage, or deliberate misuse of company tools is grounds for disciplinary action up to and including termination, and the employee may be held financially responsible for replacement.

You are welcome to use your own personal grooming tools, which must also meet sanitation standards; Bark and Purr is not responsible for loss or damage to personal tools brought onto the premises. Only Bark and Purr-approved, pet-safe, organic-compatible grooming products may be used on client pets.

3.4 Performance Standards

Quality of Work

Every groom, bath, or service must be completed to the highest standard your skill level allows. Work must be reviewed before the pet is returned to the PAWrent — do not send out a sub-standard groom.

Attitude & Professionalism

You are expected to bring a positive, engaged attitude to every shift. Abusive, hostile, confrontational, or disrespectful behavior toward coworkers, clients, or animals is not tolerated under any circumstances.

Client Retention

You are measured in part on the return rate of clients who specifically book with you. Greet returnees by name, remember their pet's preferences, and consistently create an experience they would drive across the Metroplex to repeat.

Progressive Discipline (Corrective Action Process)

For performance or conduct issues, the following four-step process is generally followed. Not all situations require every step — serious offenses (theft, violence, harassment, safety) may lawfully skip directly to a later step.

  1. Verbal Warning — documented the day it happens; management discusses the issue, clarifies expectations, and outlines required changes.
  2. Written Warning — detailing the problem, required corrective action, timeline, and consequences.
  3. Final Warning / Suspension — issued if no improvement, may include unpaid suspension.
  4. Termination — separation from employment if the issue persists or escalates.

3.5 KPI Expectations

Key Performance Indicators (KPIs) are used to track and improve individual and shop-wide performance. Your direct supervisor reviews your KPIs quarterly; targets are guidelines meant to support your growth, not rigid quotas.

Part 4 — Roles & Responsibilities

Each role at Bark and Purr is a vital piece of the Zen Den experience. Full job descriptions, training agendas, and checklists for every role live on their own position pages (linked from the Team Index). This section carries only the standards every team member should know, plus a few cross-role operating rules folded in from the Operations Manual.

Career Pathway

Bark and Purr promotes from within. The grooming track runs: Bather → Lead Bather → Grooming Apprentice Program → Junior Groomer → Groomer → Stylist. The front-of-house / operations track runs: Front Desk → Shop Manager. Per-rung criteria (time-in-role, KPI gate, skill sign-offs) are detailed in the Promotion Ladder.

Bather — Squeaky Clean Standard

Bathing is the foundation of every quality groom — a groomer cannot finish a high-quality groom unless the dog has been properly bathed, dried, and brushed out. Every dog must leave the bathing area meeting the Bark & Purr Squeaky Clean Standard: bathed at least twice, conditioned when appropriate, completely rinsed, fully dried, and thoroughly brushed and combed.

  • Follow dilution ratios for each product and label all mixed bottles.
  • Diluted product must be discarded after 48 hours — never held over for the next shift.

Groomer — Return-to-Bather Quality Control

If a groomer determines that a dog smells, is still dirty, or is not fully brushed out, the groomer has the right to return the dog to the bather for correction before proceeding. If the bather has already used their allotted bathing time, the dog may need to be rebathed on the bather's own time. Repeated failure to meet bathing standards may result in disciplinary action.

Shop Manager — Billing Oversight

In addition to the full Shop Manager job description, the Shop Manager is responsible for ensuring clients are billed correctly for: upgrades, dematting fees, handling fees, and additional services performed beyond the booked service.

Part 5 — Training Program

5.1 Hiring SOP

We recruit candidates who demonstrate two non-negotiable qualities: technical skill or aptitude, and genuine, observable love for animals. Every candidate goes through: Application Review → Phone Screen → In-Person Interview → Working Interview (where applicable) → Reference & Background Check → Offer Letter.

5.2 Training SOP

All new employees follow a structured onboarding and training program regardless of prior experience. Previous experience informs the pace, not the process. The full checkpoint structure — Week 1 orientation, Weeks 2–4 supervised practice, Days 31–90 monitored independence — is formalized in the 30/60/90 Onboarding document.

5.3 Grooming Apprentice Program

The Grooming Apprentice Program is Bark and Purr's structured pathway from Bather to Junior Groomer, combining mentored practice, classroom learning, and progressive skill assessments across three phases (Foundation, Skill Building, Advanced Application). Full program detail, curriculum, and the mentor guide live in the Apprentice Program and Mentor Guide.

Part 6 — Safety & Animal Handling

Safety is not a policy we practice when convenient. It is a non-negotiable standard that protects our team, our clients, and most importantly the animals in our care.

6.1 Grooming Safety
  • Never leave a pet unattended on a grooming table, in a tub, or under a dryer.
  • Always use a grooming arm and loop for table safety. Never leave a pet looped without visual contact.
  • Clippers, scissors, and blades must be checked for sharpness and condition before each use.
  • Water temperature must be warm but not hot. Test before applying to any pet.
  • Keep all grooming chemicals secured, clearly labeled, and out of reach of pets.
  • Wear appropriate PPE: waterproof apron, non-slip shoes, mask (when drying), and gloves when handling known biters.

All grooming tools are sanitized between each pet using approved disinfectant. Grooming tables, tubs, and cage dryers are cleaned between each use. The facility is treated regularly for flea and tick prevention.

6.2 Dog Handling
  • Always approach a new or anxious dog from the side, not head-on. Avoid direct eye contact with nervous dogs.
  • Read body language before making contact: tail position, ear set, hackles, eye whites.
  • Use minimum necessary restraint. Over-restraint escalates fear.
  • Never force a dog into a position that causes them to fight or panic. Pause, reset, and try again.

Grooming loops and arms are used for table safety, not punishment. Muzzles may be used when necessary for safety with management approval — never on a brachycephalic breed or as a first response.

6.3 Kennel Awareness
  • Always close and latch kennels securely before moving away from the door.
  • Never open an occupied kennel unless you are prepared to fully manage the dog that exits.
  • Monitor all boarding pets at regular intervals; report any changes in behavior, appetite, or health immediately.
  • Dogs in daycare are supervised at all times.
6.4 Aggressive Dog Protocol

Signs of escalating aggression — stiff body, fixed stare, low growl, lip curl, snapping, lunging, biting — must be acted on at the first sign, not after a bite occurs.

  1. Stop the service immediately.
  2. Safely secure the dog in a crate or kennel; call for assistance if needed.
  3. Notify management immediately and complete an incident report before end of shift.
  4. Contact the PAWrent — communicate what happened factually, calmly, and transparently.
  5. Document in the pet's profile for all future visits.

Any employee bitten must report the incident to management immediately. Pets with a documented bite history must have a management-approved handling plan before any future service.

6.5 Emergency Procedures

Pet medical emergency: stay calm, remove other pets from the area, call management immediately, administer first aid if trained, contact the nearest emergency vet or the client's vet on file, contact the PAWrent immediately, and document all actions taken.

Fire & evacuation: know evacuation routes and pet carrier locations before an emergency occurs; in the event of fire, activate the alarm, call 911, and begin safe pet evacuation. Never risk personal safety attempting to retrieve pets in an unsafe environment.

Human medical emergency: call 911 immediately for any life-threatening emergency. All employees are strongly encouraged to maintain current CPR/First Aid certification.

Part 7 — Daily Operations

Your tools: Bark & Purr runs on MyTime for appointment scheduling and client booking, and Compass for staff-side daily task tracking and check-off. If you were trained on a different scheduling or task-tracking product at a previous job, ask your manager for a Compass/MyTime refresher — those are the only systems of record here.
7.1 Opening Procedures

The team member opening the shop ensures the Zen Den is ready to receive guests before any client arrives, including: security system disarmed, Zen Den lighting/aromatherapy/music set, water stations checked, kennels and stations inspected, product levels checked, the day's schedule reviewed in MyTime, and the team at stations 5 minutes before the first appointment.

7.2 Workflow Management

Pets are checked in by front desk and their profile reviewed before being handed to the grooming team. Bathers prepare pets in check-in order unless otherwise directed. Groomers confirm the service plan with the bather before receiving each pet. PAWrents are notified by text or call when their pet is complete — never hold a finished pet longer than 30 minutes without contacting the owner.

If the shop is running behind schedule, the manager on duty must communicate with affected PAWrents proactively. Communication prevents frustration; silence creates it.

7.3 Manager on Duty Responsibilities

The Manager on Duty (MOD) is the operational leader of the shop during their shift. Every team member defers to the MOD for operational decisions during that shift — overseeing opening/closing, monitoring workflow, serving as first point of escalation for client issues, handling incidents, and completing the daily operations log.

📌 The MOD is not above the work. Lead by example, and jump in wherever the team needs you most.
7.4 Closing Procedures

Confirm all appointments are complete and boarding/daycare pets are settled; clean and sanitize all stations, tubs, and tables; sweep and mop; empty and check dryers for overheating; restock and flag inventory shortages; secure chemical storage; confirm cash drawer is balanced and complete the end-of-day sales report; set the security system; complete the daily operations log and note open items for the morning team.

Part 10 — Client Experience Playbook

10.1 Check-In Standards (Drop-Off)

Check-in sets the tone for the entire visit — the first 60 seconds are critical. Greet the client and pet by name, get down to the pet's level, confirm the service, ask a meaningful question about how the pet has been, note any changes in the client record, confirm the pickup contact preference, set the pickup expectation, and hand off the pet to the grooming team with a warm verbal summary. New clients receive an expanded welcome including a facility tour and introduction to their groomer.

📌 Always confirm vaccine records are current at check-in for any new client, or any client whose records are more than 12 months old.
10.2 Check-Out Standards (Pickup)

Bring the pet out finished, clean, and looking show-ready. Lead with a positive observation, provide a brief wellness update, recommend a genuinely useful product or service, process payment efficiently, offer to rebook on the spot (aim for 4–6 weeks out), invite a review, and send them off with a warm, personalized farewell.

10.3 Difficult Conversations — The CARE Framework
Calm the SituationLower your voice, slow your pace, make eye contact. A calm employee calms an upset client.
Acknowledge the Feeling"I completely understand why you're frustrated, and I'm so sorry this happened." Don't debate the feeling.
Resolve ProactivelyOffer a concrete solution — redo the service, issue a credit, connect with management. Never leave a client hanging.
Elevate if NeededIf the situation cannot be resolved at your level, involve management immediately — do not allow it to escalate further.
📌 Never argue with a client — even when they are wrong. Win the relationship, not the argument. Escalate to management any situation involving a meaningful refund, a potential injury claim, or a client who is verbally abusive.
10.4 Client Retention

Rebook at checkout every time. Send personal follow-ups. Remember and use personal details. Flag lapsing clients (no booking in 6+ weeks) for a re-engagement outreach. Resolve complaints completely — a recovered client often becomes a more loyal advocate than one who never had an issue. Encourage satisfied clients to share their experience on Google, Facebook, and Nextdoor.
